Privacy Statement

Rest Easy NZ Limited (“Rest Easy”, “we”, “us”, “our”) values your privacy. This statement explains how we collect, use, share and protect personal information in line with the Privacy Act 2020.
What we collect
We collect personal information from you, including information about your:
- name and contact details (email, phone, postal address)
- identity verification information (such as photo ID, where required by booking platforms or for direct bookings)
- property details and ownership information (for owners)
- bank account, payment and billing information
- GST registration and tax information (for owners)
- booking and stay history, communications and special requests (for guests)
- information about contractors we engage on your behalf
- any other information you provide to us in connection with our services
Why we collect it
We collect your personal information in order to:
- enter into and administer property management arrangements with property owners
- manage bookings and short-term accommodation stays for guests
- communicate with owners, guests and contractors about properties, bookings, services and stays
- process payments, refunds, payouts and financial transactions
- engage and pay contractors and service providers
- verify identity, ownership and authority at on-boarding and from time to time
- comply with tax, GST and other legal obligations, including responding to information requests from Inland Revenue and other regulators
- pursue damage and loss claims, recover costs from guests, and resolve disputes
- send service-related communications and (with consent) marketing about Rest Easy services
- improve Rest Easy’s services through feedback, reviews, analytics and operational reporting
Who we share it with
Besides our staff, we share this information with:
- Booking platforms (such as Airbnb, Booking.com, Bookabach, Stayz and Vrbo) — to list properties, accept and manage bookings, communicate with guests, and process platform-mediated payments
- Payment processors and banks — to process guest payments and owner payouts
- Our property management software provider — to manage bookings, calendars, guest communications, financial reporting and operational workflows
- Cleaning companies, tradespeople and other service providers (including handymen, electricians, plumbers, gardeners, security, locksmiths and pest control) — to perform on-site services at the property
- Virtual assistants, call centres and outsourced support providers (some of whom may be based overseas) — to assist with guest communications and operational support
- Our accountant and bookkeeper — to meet our tax, GST and financial compliance obligations
- Inland Revenue and other regulators — to comply with statutory reporting and information requests
- Cloud and software service providers (including email, document storage and CRM) — to store and process information securely as part of our day-to-day operations
- Our insurance providers and brokers — to manage insurance cover and handle claims
- Lawyers, debt collectors and dispute resolution providers — to recover amounts owing and resolve disputes (only as needed)
- Property owners (and prospective owners of a property we manage) — to provide reporting, statements, contractor approvals and information about their property
- Body corporates and building managers — to comply with body corporate rules and notify them of relevant matters
Overseas transfers
Some of the third parties listed above are based outside New Zealand. For example, Airbnb and Vrbo are based in the United States; Booking.com is based in the Netherlands; and we may use virtual assistants, call centres or cloud service providers based overseas.
When we share your personal information with overseas providers, we take reasonable steps to ensure your privacy is protected to a standard comparable to the Privacy Act 2020.
Providing some information is optional. If you choose not to give us any of the information we ask you for, we may not be able to provide some or all of our services, or may be limited in what we can do for you.
We keep your information safe by storing it in secure, access-controlled local and cloud platforms, and by restricting access on a need-to-know basis.
We keep your information for up to 7 years after it is no longer needed for the purpose it was collected, in line with our record-keeping obligations under New Zealand tax and business law. At that point, we securely destroy it by deleting digital records and shredding any physical records.
Your rights — access and correction
